Mass Texting Services & Apps: How Mass Texting Software Works, Free Options, Rules and Costs

What is a mass texting service? A mass texting service sends one message to hundreds or thousands of people at once, as individual texts from a business number. Each person gets a private message, can reply privately, and can opt out with one word. Here is how mass texting software works, what "free" really means, the rules carriers enforce, how fast you can send, and what it costs at every list size.

In short

  • Mass texting sends one message to many people as separate, private texts. It is not a group chat.
  • Mass texting apps on your own phone suit a few dozen friends, not a business list. Business sending needs a registered number.
  • No mass texting service is truly free: carriers charge for every message segment. Free plans cap how many you can send.
  • The rules: opt-in first, your business name, STOP wording, approved A2P 10DLC registration in the US, and sensible sending hours.
  • On Linxi, 10,000 single-segment texts use $40 of balance at carrier cost.

What is a mass texting service?

A mass texting service takes your contact list and your message, and hands the carrier one text per person. The message can carry each person's name or a personal link, so 2,000 people get 2,000 slightly different texts. Replies come back to the service, where you can read and answer them one by one, and STOP replies take people off the list automatically.

Mass texting vs group texting

The two are often confused, and the difference matters for privacy and for the law.

Comparison of a mass text and a group text. A mass text is one message sent as separate one-to-one texts: each person sees only your number, replies come only to you, it reaches hundreds or thousands, STOP removes people automatically, and it suits customers, members and attendees. A group text is one shared conversation: everyone sees every member's number, replies go to the whole group, phones cap the size, members must leave by hand, and it suits friends, family and small teams.
A mass text is many private texts; a group text is one shared chat that exposes everyone's number.

A group text is one conversation: everyone sees everyone else's number, and every reply goes to the whole group. Phones cap group size, and a group text to customers exposes their numbers to each other. A mass text is many one-to-one conversations sent at once. Nobody sees anyone else, and a reply comes only to you.

Mass texting programs, software and applications

Mass texting programs, software for mass texting and mass texting applications are different names for the same thing: a tool that sends a message to a list. They come in two forms. Some are apps that send from your own phone and phone plan. Most business tools are web-based platforms that send from a business number through a carrier such as Twilio or Telnyx. The second kind is what the rest of this guide is about, because it is the only kind built for customer lists.

How mass texting works, step by step

Six steps of how mass texting works: choose the audience with opt-outs left out automatically, write once with your business name and merge tags, send now or schedule or drip it out, the carrier checks the number, the sender's registration and the content, each phone gets its own copy with a delivery report, and replies come back to your inbox while STOP removes people from future sends.
How mass texting software sends one message as thousands of individual texts. Most failures happen at the carrier check.
  1. Choose the audience. A list, a tag or a segment of opted-in contacts. Anyone who has opted out is excluded automatically.
  2. Write the message, with merge tags such as the person's first name, and your business name at the start.
  3. Send or schedule it. Now, at a set time, or a few at a time (drip sending), which spreads the load and the replies.
  4. The carrier checks it. Is the number valid and mobile? Is the sender registered for A2P? Does the content look like spam?
  5. Each phone gets its own copy. Delivery reports come back per person: delivered, or failed with an error code.
  6. Replies and STOPs come in. Replies land in your inbox; STOP removes the person from future texts.

Step 4 is where most mass texts that never arrive are stopped. An unregistered number, a public link shortener or a number that is really a landline all fail there.

Can you use an app for mass texting on your phone?

You can, for small personal sends, but not for a business list. There are apps for mass texting that send individual texts from your own phone, one after another, through your personal plan.

App for mass texting on iPhone

iPhones have no built-in way to send a message to many people as separate texts. The Messages app creates a group conversation instead. App Store tools that claim to mass text from an iPhone usually prepare the messages and have you tap send for each one, or send them through their own service instead of your phone.

Android apps for mass texting

Android lets some apps send texts through your SIM card, so an Android app for mass texting can send individual texts from your own number. They still use your personal plan, though.

Why business mass texting moves off the phone

  • Personal lines are not registered for business traffic. Carriers watch for bulk patterns on consumer plans and filter them.
  • No consent records. If someone complains, you have nothing to show when and how they opted in.
  • No automatic STOP handling. Someone has to remove every opt-out by hand, and one slip is a legal risk.
  • One phone, one person. Replies land on whoever holds the phone, and leave with them.

A business mass texting app or platform solves all four, which is why phone apps are best kept for a family reunion or a sports team.

Free mass texting services and apps: what "free" really means

Searches for free mass texting services and free mass texting apps are common, and the honest answer is that every business text costs something. Carriers charge for each message segment, so a service that offers free texts is paying for them somewhere: a plan price, a small monthly cap, or ads in your messages.

What you will find under "free":

  • Free plans with a cap. Linxi's Free plan, for example, lets you send up to 500 texts a month; the texts themselves are paid from your balance at carrier cost, $0.0040 a segment on Telnyx.
  • Free trials with a handful of credits, often only to your own number.
  • Free phone apps that send through your personal plan, with the limits above.
  • Free channels that are not SMS. Linxi Network messages between Linxi accounts involve no carrier and cost nothing, and email from your own mailbox costs nothing per recipient.

What a free mass texting service usually leaves out

Check whether the free tier includes a registered business number, A2P registration help, the two-way inbox and automatic STOP handling. A free tool that skips registration is not saving you money: unregistered US texts to mobile phones are blocked.

The rules of mass texting

Mass texting is regulated in the US by the Telephone Consumer Protection Act (TCPA), state laws and the carriers' own rules. In plain terms:

Checklist of six mass texting rules in the US: get opt-in first with written consent for marketing, say who you are with your business name in every message, include STOP and HELP wording and honor every request to stop, register the number for A2P 10DLC or toll-free verification, send marketing texts between 8 a.m. and 9 p.m. in the recipient's time zone with some states stricter, and avoid public link shorteners and restricted content.
The six rules of mass texting. A purchased list is never consent.
  • Opt-in first. Text only people who agreed to hear from you. For marketing texts, get clear written consent: a form with an unchecked box, or a keyword they text to you.
  • Say who you are. Put your business name in every message.
  • STOP and HELP. Include opt-out wording such as "Reply STOP to opt out", and honor every opt-out at once. The law treats any reasonable request to stop as an opt-out, not only the exact word.
  • Register. In the US, texts from a local 10DLC number need an approved A2P 10DLC brand and campaign. Toll-free numbers go through toll-free verification instead.
  • Respect the clock. Federal rules limit marketing calls and texts to 8 a.m. to 9 p.m. in the recipient's time zone, and some states set narrower windows or extra limits. Schedule sends for daytime where your contacts live.
  • Watch the content. No public link shorteners such as bit.ly, and no wording that looks like spam. Carriers restrict some content, such as alcohol, tobacco and firearms offers, so check the rules before you register.

Never buy a list

A purchased or scraped list of phone numbers is not consent. Texting it breaks the TCPA, gets your number blocked, and can sink your A2P registration. Build your list from people who opted in.

How many texts can you send, and how fast?

Two limits apply: the carrier registration sets a daily ceiling, and your platform plan sets a monthly one.

Mass texting limits: the A2P 10DLC brand sets the daily ceiling, with a Sole Proprietor brand at a lower cap for $4 once, a standard low-volume brand at up to about 6,000 texts a day for about $4.50 once, and a standard vetted brand at up to 200,000 texts a day for about $46 once. Linxi plans set the monthly limit: 500 on Free, 2,000 on Linxi Number, 5,000 on Linxi Plus, 10,000 on Starter, 50,000 on Pro and 100,000 on Enterprise.
Your A2P brand sets how many texts you can send a day; your plan sets the monthly limit.

For a US business on a local number, the A2P 10DLC brand decides the daily ceiling. A standard low-volume brand, the usual choice for a small business, allows up to about 6,000 messages a day. A brand that pays for secondary vetting can reach up to 200,000 a day. Sole-proprietor brands, for individuals without an EIN, sit lower. The brand tier is hard to change later, so pick the higher one up front if you expect real volume.

On the platform side, Linxi plans set monthly sending limits from 500 texts on Free to 100,000 on Enterprise. When you reach yours, sending stops until the next month or an upgrade; there is no penalty price.

For big lists, drip sending (a few at a time) keeps you under daily caps and stops a thousand replies from landing in the same minute.

What mass texting costs

The cost of a mass texting service is the platform fee plus the messages. The message part grows with your list and your message length:

Bar chart of mass texting message cost on Linxi at $0.0040 per segment on Telnyx: 500 texts cost $2 at one segment or $4 at two segments, 2,000 texts cost $8 or $16, and 10,000 texts cost $40 or $80. Inbound replies are free and a 2.9% fee applies when adding funds.
What mass texting costs at carrier cost. A two-segment text doubles the bill.

Length matters as much as list size. A text over 160 standard characters is billed as two or more segments, so trimming a message to one segment halves its cost. On Linxi, inbound replies are not charged, and the per-segment rate is the carrier's own, with a 2.9% fee when you add funds. Rates for every channel are on the pricing page.

Keeping a mass texting list healthy

A clean list delivers better, costs less and earns fewer complaints:

  • Remove landlines. Error 30006 means the number is a landline or cannot receive texts. Nobody can text it, so drop it or ask for a mobile.
  • Remove dead numbers. Error 30005 means the number does not exist or was disconnected. Repeatedly sending to dead numbers hurts your sender reputation.
  • Never re-add an opt-out. Someone who texted STOP must text START themselves. Deleting and re-creating the contact does not change that.
  • Re-confirm old lists. If people have not heard from you in a long time, ask them by email whether they still want texts before you resume.
  • Watch your opt-out rate. A jump after a campaign is a sign the message, timing or frequency missed.

Best mass texting service and apps: what to look for

The best mass texting service for a business is the one that delivers reliably at your volume without hiding costs. Lists of the best apps for mass texting change every year, but the features that matter for sending to large lists do not:

  • A published per-segment price, with inbound texts free or clearly priced.
  • A2P 10DLC registration done for you, or guided step by step.
  • Drip sending and scheduling, so big lists go out in waves.
  • A character and segment counter in the composer.
  • A two-way inbox, so replies to a mass text become conversations.
  • Delivery reports with error codes explained in plain words.
  • Opt-outs that apply across every list and campaign.

Mass texting for business, nonprofits and churches

Mass texting for business covers sales, openings, reminders and event updates. Nonprofits use it for volunteer calls, event days and urgent appeals. Churches and community groups use it for service changes, weather closures and event reminders. The rules are the same for all of them: consent, identification, STOP wording and registration.

Where Linxi fits

Linxi is an all-in-one platform for small businesses and events. One campaign can go by SMS, email and Linxi Network message to any mix of lists, tags and groups; you can send now, schedule it, or drip it out a few at a time, send yourself a test first, and you get a ten-second undo after pressing send. Texts go at carrier cost, replies come back into one thread per person, and STOP is honored on every campaign. Linxi can buy your number and file the A2P registration for you.

One honest note about Linxi today: you can attach an image to a campaign, but campaigns do not send it yet, so plan mass texts as plain text. Compare the plans and their monthly sending limits on the plans page.

Frequently Asked Questions

What is the best free mass texting service?

There is no free mass texting service for business traffic that is free all the way through, because carriers charge for every text. The best low-cost option is a platform with a free plan, a registered number and messages at or near carrier cost. On Linxi's Free plan you can send up to 500 texts a month, paying only the carrier's rate from your balance, and email and Linxi Network messages cost nothing per recipient.

What is the cheapest mass texting service?

Look at the per-segment price first, because at volume it outweighs the plan fee. A platform that passes through the carrier's rate costs a fraction of one charging several cents a text. Then add numbers, registration and top-up fees to get the real monthly total. Ask each provider whether inbound texts are charged and whether unused credits expire.

Can people see each other's numbers in a mass text?

No. A mass text is sent as separate one-to-one messages, so each person sees only your number and your message. That is the main difference from a group text, where everyone sees every member's number and every reply. If you are using your phone's Messages app and see a group conversation forming, it is a group text, not a mass text.

Can recipients reply to a mass text?

Yes, if you send from a two-way number, which is how most business platforms work. Each reply comes back to you privately, and on Linxi it lands in that person's thread alongside any email you have exchanged. Replies such as STOP, START and HELP are handled automatically. Some short-code services are one-way, so check before you sign up.

How long does it take to send a mass text?

Sending itself takes seconds to minutes for a few hundred messages, and longer for very large lists as the carrier works through them. Your daily throughput ceiling, set by your A2P 10DLC brand, decides how many can go out in a day. Delivery reports usually arrive within seconds to a couple of minutes per message.

Can I mass text without A2P 10DLC registration?

Not from a US local 10DLC number: carriers block unregistered traffic to mobile phones, and it shows up as error 30034. Toll-free numbers use a separate toll-free verification process instead, and short codes have their own approval. Whichever number you use, some form of carrier registration comes before mass texting in the US.

Is mass texting the same as mass texting marketing?

Mass texting is the method; marketing is one use of it. A school closing for snow, a church moving a service and a store announcing a sale all send mass texts. Marketing texts carry the strictest consent rules, so if any of your messages promote something, collect written consent before you send them.

Is there an online mass texting service I can use without installing anything?

Yes. Most business mass texting services are web-based: you sign in, import contacts, write and send from the dashboard, and read replies in an inbox. Your contacts do not need to install anything either, because the texts arrive in their phone's normal messaging app.

How do I build a list for mass texting?

Ask people in the places they already meet you: a signup form on your website with an unchecked consent box, a keyword they can text to your number (such as JOIN), a line on a paper form at your counter, or a box at checkout. Tell them what you will send and how often, and send a welcome text that confirms it. Import existing contacts only if they gave consent to be texted.

What should a first mass text say?

Start with your business name, make one clear point, and end with "Reply STOP to opt out." Keep it to one segment, use your real domain rather than a link shortener, and send it during daytime hours. If it is the first text after someone joins, confirm what they signed up for and how often you will text.

Send your first mass text the right way

Linxi registers your number, sends at carrier cost and brings every reply back to one inbox. Check what a campaign will cost on the pricing page, then import your list and send.
