Toll-Free Business Phone Number: Best Options, Costs & Toll-Free Verification for Texting

What is a business toll free phone number? It is a number starting with 800, 888, 877, 866, 855, 844 or 833 that customers in the US and Canada can call without paying for the call, because the business pays instead. It signals a national business, it can be texted once it passes toll-free verification, and it costs the owner a monthly fee plus usage. The caller gets it free. You do not.

In short

  • A toll-free business phone number is free for the caller; the business pays for the number and the usage.
  • All seven toll-free prefixes (800, 888, 877, 866, 855, 844, 833) work the same way. 800 is simply the oldest and most recognized.
  • To text from a toll-free number in the US, it must pass toll-free verification. Unverified toll-free texts are blocked.
  • Toll-free verification is separate from A2P 10DLC, which covers local 10-digit numbers.
  • There is no truly free toll-free number for a business. Free numbers are local, and come with limits.
  • Local numbers usually work better for two-way texting with nearby customers; toll-free suits national brands, support lines and ads.

What is a toll-free business phone number?

A toll-free business phone number is a number customers can call at no charge, in the toll-free prefixes of the North American Numbering Plan. In the days of long-distance charges, that mattered a great deal. Today, most phone plans include nationwide calling, so the value has shifted: a toll-free number now mostly says "this is an established business that serves the whole country."

Toll-free business phone number prefixes

The toll-free prefixes in use are 800, 888, 877, 866, 855, 844 and 833. They all work the same way. 800 came first and is the most familiar, which is why 800 numbers, especially memorable ones, are the hardest to find. Newer prefixes like 833 and 844 have much more choice.

The seven US and Canadian toll-free prefixes and the year each arrived: 800 since 1967, 888 since 1996, 877 since 1998, 866 since 2000, 855 since 2010, 844 since 2013 and 833 since 2017. All seven work the same, free for the caller and paid by the business; 800 is the best known, so memorable 800 numbers are the hardest to find.

How a toll free business phone number works

When someone dials a toll free business phone number, the call is looked up in a national toll-free database, which says which provider handles it and where it should ring. The provider then routes it to your phone, your team or your phone system, and bills you for the minutes. The caller sees no charge.

Four steps of a toll-free call: a customer dials an 800, 888, 877, 866, 855, 844 or 833 number; the number is looked up in a national toll-free database that names the provider and route; your provider routes the call to your phone, team or phone system; and the business, not the caller, is billed for the number and the minutes.
How a toll-free call works. Toll-free means free for the caller, not for the business.

Two rules set toll-free numbers apart from ordinary numbers:

  • They are portable. You can move a toll-free number to another provider and keep it. The national database records which provider manages it.
  • They cannot be bought and sold. FCC rules assign toll-free numbers first come, first served, and forbid hoarding or brokering them. Be wary of anyone selling "premium" 800 numbers as property.

Toll-free vs local: the best business phone number for you

The best business phone number is the one that matches how customers find you. Toll-free is not better than local, just different.

Choose toll-free when:

  • You sell or support customers across the country.
  • You advertise on radio, TV or billboards, where a memorable vanity number helps.
  • You run a support line and want one number for every region.

Choose local when:

  • Your customers are nearby and expect a local business.
  • You mostly text with customers, one to one. Linxi's own Help Center notes that local numbers work best for two-way conversational texting.
  • You want people to answer when you call them. A familiar area code helps.

Many businesses use both: a toll-free number on national ads and a local number for each location.

Comparison of local and toll-free business phone numbers. A local 10-digit number looks nearby and familiar, needs A2P 10DLC registration for texting, suits local customers and two-way texting, and costs $1.50 a month as a managed number on Linxi, with the first included on paid plans. A toll-free number on 800, 888, 877, 866, 855, 844 or 833 looks national and established, needs toll-free verification for texting, suits national sales, support lines and ads, and costs $2.50 a month as a managed number on Linxi.
Toll-free or local: pick by where customers are and how they reach you. Many businesses use both.

How to get a toll free phone number for business

To get a toll free phone number for business, you go through a provider that can assign toll-free numbers: a business phone service, a cloud communications company such as Twilio or Telnyx, or a texting platform. The steps:

  1. Choose a provider by what you need: calls, texts, or both.
  2. Search the available numbers. Pick a prefix, or search for a vanity pattern that spells a word.
  3. Buy it, and set where calls ring and where texts go.
  4. Verify it for texting, if you will send texts (next section).
  5. Publish it on your site, ads and packaging.

On Linxi, a toll-free number managed by Linxi is listed at $2.50 a month, against $1.50 for a local one, and texts are billed at carrier cost with no markup. Linxi is a texting, email and contacts platform; calling inside Linxi is coming but not available yet, so a toll-free line that customers mainly call belongs with a phone service today. Toll-free verification for texting

Toll-free verification is the review a toll-free number must pass before US carriers will deliver its text messages. Since early 2024, carriers have blocked SMS from toll-free numbers that are not verified, so verification is no longer optional for anyone who wants to text.

It is a different process from A2P 10DLC. A2P 10DLC registers a brand and campaigns for local 10-digit numbers through The Campaign Registry. Toll-free verification reviews one toll-free number, and the business behind it, through your messaging provider.

What toll-free verification asks for

The details vary by provider, but expect to give:

  • Business details: legal name, address, website and a contact person. Many providers now also ask for a business registration number, such as an EIN.
  • Use case: what you will send, such as account notifications, appointment reminders or marketing.
  • Sample messages: two or three real examples with your business name and opt-out wording.
  • Opt-in proof: how people agreed to receive texts, with a link or screenshot of the form, keyword or checkout box.
  • Expected volume: roughly how many messages you will send a month.
Checklist of what toll-free verification asks for: business details (legal name, address, website and a contact person), a business registration number such as an EIN at many providers, the use case, sample messages with the business name and STOP wording, opt-in proof as a link or screenshot, and expected monthly volume. Until the number is verified, US carriers block its texts; requirements vary by provider.

How to pass toll-free verification

Reviewers reject vague submissions. What gets approved:

  • A website that works, names the business and has a privacy policy saying you do not share phone numbers for marketing.
  • An opt-in that is specific: an unchecked consent box, what messages people will get, how often, "Message and data rates may apply," and how to stop.
  • Sample messages that match the use case and include your business name and "Reply STOP to opt out."
  • The same business name everywhere: the form, the samples, the website.

Verification commonly takes from a few days to a few weeks, depending on the provider and the queue. If a submission is rejected, the reason is usually stated; fix it and resubmit.

Phone showing sample texts from a fictional business, Northwind Outfitters, on a toll-free 833 number: a customer texts JOIN, the business replies with an opt-in confirmation giving message frequency, a rates disclaimer and HELP and STOP instructions, then sends an order shipped update ending with Reply STOP to opt out. Beside it, four reasons it works: business name first, frequency and rates stated, HELP and STOP on every message, and messages that match the registered use case.
Sample toll-free texts that verification reviewers want to see: name first, rates, HELP and STOP, and a matching use case.

Texts sent before verification do not arrive

Until the toll-free number is verified, US carriers block its texts. Plan your launch around the review, and keep using an approved number in the meantime.

Can you get a business phone number free?

Not a toll-free one. "Toll-free" means free for the caller: the business always pays for the number and the usage. If you want to get a business phone number free, you are looking at local numbers, such as a personal Google Voice number or an ad-supported calling app.

How do I get a free business phone number?

How do I get a free business phone number? Here is how to get a free business phone number in practice: claim one from a free calling or texting app, such as Google Voice for personal Google accounts in the US. Google Voice for businesses requires a paid Google Workspace subscription and a Voice license, so check the current price. Some business phone services also offer free trials, which let you test before you pay.

The best free business phone number options, and their limits

The best free business phone number is fine for testing an idea, but weak for a number you will advertise:

  • The app's terms decide whether you keep it, and unused numbers may be reclaimed.
  • They are built for person-to-person use, not business texting to a list.
  • They do not come with a toll-free option.
  • Support is minimal, and porting out is not always possible.

For a number you will print on ads or a website, pay for it. A local number from a texting platform costs a few dollars a month; a toll-free number costs a little more.

What a toll-free number costs

There are three parts to the cost of a toll-free number, and they vary by provider:

  • The number itself: a monthly fee. On Linxi, $2.50 a month for a managed toll-free number.
  • Calls: toll-free numbers usually bill the business per minute for inbound calls, since the caller pays nothing. Check each provider's per-minute rate.
  • Texts: billed per message segment. On Linxi, texts are billed at the carrier's own rate with no markup, with a 2.9% recharge fee when you add funds.

Full Linxi rates are on the pricing page. For phone services and other providers, check the current price list: toll-free minutes and verification fees change.

Frequently Asked Questions

Are toll-free numbers free to call from a cell phone?

Yes. Calls to toll-free numbers cost the caller nothing, from a landline or a cell phone, within the countries the number accepts calls from. On a cell phone the call may still use plan minutes if the plan has a minute limit, but most plans today include unlimited calling.

Can a toll-free number receive and send text messages?

Yes, if the provider has enabled texting on it. Receiving texts usually works once texting is turned on, but sending to US phones requires the number to pass toll-free verification first. Many providers also support MMS on toll-free numbers, so check yours if you want to send pictures.

Does a toll-free number need A2P 10DLC registration?

No. A2P 10DLC applies to local 10-digit numbers. Toll-free numbers have their own process, toll-free verification, which reviews the number and the business behind it. If you use both kinds of number, you need both processes.

How long does toll-free verification take?

It varies, commonly from a few days to a few weeks, depending on your provider and how complete the submission is. A clear website, a specific opt-in and good sample messages are the fastest route through. Your provider's dashboard shows the status.

What happens if I text from an unverified toll-free number?

US carriers block it. The message is not delivered, and your provider will usually report an error code. Submit verification before you plan to launch, and send from an approved number while you wait.

Can I keep my toll-free number if I switch providers?

Yes. Toll-free numbers are portable: the new provider requests the transfer, and the national toll-free database is updated to point at them. Keep the old account active until the move is complete, and check whether texting needs to be re-verified with the new provider.

Is an 800 number better than 833 or 844?

They work identically: same cost to the caller, same features. 800 is older and more recognized, so some businesses prefer it, but good 800 numbers are scarce. A memorable 833 or 844 number is usually a better choice than a forgettable 800 one.

What is a vanity toll-free number?

It is a toll-free number whose digits spell a word on the phone keypad, like 1-800-FLOWERS. Vanity numbers help on radio, TV, vans and billboards, where people have a few seconds to remember them. Search your provider's available numbers by pattern; toll-free numbers cannot legally be bought from someone else as property.

Do toll-free numbers work in Canada?

The toll-free prefixes are shared across the North American Numbering Plan, so a toll-free number can usually be reached from both the US and Canada. Whether calls from Canada are accepted depends on how the owner and provider set the number up, so test it if Canadian customers matter.

Can a sole proprietor get a toll-free number?

Yes, providers sell toll-free numbers to individuals and small businesses alike. Texting is where it gets stricter: verification asks for business details, and many providers now ask for a business registration number. Check your provider's current requirements before you buy, if texting is the reason you want the number.
